Access to and Correction of Personal Information Collected Through this Website

Any user may submit a request to the appropriate Onondaga Community College privacy compliance officer to determine whether personal information pertaining to that user has been collected through this website. Any such request shall be made in writing and must be accompanied by reasonable proof of identity of the user. Reasonable proof of identity may include verification of a signature, inclusion of an identifier generally known only to the user, or similar appropriate identification. The addresses of the privacy compliance officers are as follows: For student related requests: Registrar Onondaga Community College 4941 Onondaga Road Syracuse, NY. 13215 For all other requests: Director of Human Resources Onondaga Community College 4941 Onondaga Road Syracuse, NY. 13215 The appropriate privacy compliance officer shall, within five (5) business days of the receipt of a proper request, provide access to the personal information; deny access in writing, explaining the reasons therefore; or acknowledge the receipt of the request in writing, stating the approximate date when the request will be granted or denied, which date shall not be more than thirty (30) days from the date of the acknowledgment. In the event that Onondaga Community College has collected personal information pertaining to a user through the state agency website and that information is to be provided to the user pursuant to the user's request, the privacy compliance officer shall inform the user of his or her right to request that the personal information be amended or corrected under the procedures set forth in section 95 of the Public Officers Law.

Family Educational Rights and Privacy Act

In conformance with the Family Educational Rights and Privacy Act (FERPA) of 1974, as amended, Onondaga Community College gives students the right to inspect and review their educational records and to challenge the contents of these records to ensure that such records are not inaccurate, misleading, or in violation of the student’s privacy or other rights. In addition, Onondaga will not release personally identifiable records of students to any individual, agency or organization without the prior written consent of the student, except as provided by law. 

Directory Information 

The Act designates certain information as “Directory Information” and gives the College the right to disclose such information to anyone inquiring, without having to ask the student for permission, unless the student specifically instructs the College not to do so. Directory Information at Onondaga Community College is defined as: the student’s name, address, telephone listing, electronic mail address, photograph, date and place of birth, major field of study, grade level, enrollment status, dates of attendance; participation in officially recognized activities and sports; weight and height of members of athletic teams; degrees, honors, and awards received; and the most recent educational agency or institution attended. Directory Information does not include a student’s social security number, a studentID number, user ID, or other unique personal identifier used by the student for purposes of accessing or communicating in electronic systems, only if the identifier cannot be used to gain access to Education Records except when used in conjunction with one or more factors that authenticate the user’s identity, such as a personal identification number (PIN), password, or other factor known or possessed only by the authorized user.

Note: FERPA does not mandate the disclosure of Directory Information to anyone, but simply allows the College to make such disclosures in the absence of a student’s election to opt out by using the procedure described in this policy. A student has the right to withhold the public release of any or all Directory Information directly pertaining to him or her by giving notice to the Certification and Records office. Such notice must be received by the Certification and Records office at least 10 days prior to the first day of the term for which the request is first to be effective, and except as described below will become effective on the first day of that term. Elections to withhold release of Directory Information will remain effective until revoked by the student by subsequent direction to the Certification and Records office. Because certain Directory Information is distributed by the College in pre-printed materials, Directory Information may continue to be included in materials printed prior to the effective date of the election, but the student’s election will be effective for materials printed after the effective date and for online and other disclosures from and after the effective date.

Students wishing to have directory information withheld should contact the Certification and Records office, Gordon Student Center, Room 220, (315) 498-2000. 

Disclosures to Other Schools

Upon request, the College also discloses EducationRecords without consent to officials of another school in which a student is enrolled or seeks or intends to enroll, for purposes related to the student’s enrollment or transfer.  

Confidentiality and Integrity of Personal Information Collected Through this Website

Onondaga Community College is strongly committed to protecting personal information collected through this website against unauthorized access, use or disclosure. Consequently, Onondaga Community College limits employee access to personal information collected through this website to only those employees who need access to the information in the performance of their official duties. Employees who have access to this information follow appropriate procedures in connection with any disclosures of personal information. In addition, Onondaga Community College has implemented procedures to safeguard the integrity of its information technology assets, including, but not limited to, authentication, monitoring, auditing, and encryption.
